All the Tools I Use: My Essential Tech Stack for Productivity and Design
Running a successful online business or creative project requires the right tools. After years of experimenting with different software and services, I’ve settled on a core tech stack that keeps me productive, organized, and creative. Here’s my complete list of the tools I use daily—and why they’ve earned a permanent place in my workflow.
I’ll be keeping this list updated as my toolkit evolves, but these are my current essentials.
Graphic Design Tools
Canva Pro – My Go-To Design Platform
Canva has become my primary design tool, and I’ve invested in Canva Pro for good reason. The Pro subscription unlocks additional templates that save me hours of work, and most importantly, it allows me to download high-resolution files for printing—essential for client deliverables and physical materials.
Whether I’m creating social media graphics, presentations, or marketing materials, Canva’s intuitive interface makes professional design accessible without a steep learning curve. Read my specific post on Canva vs Adobe.
Photopea – Free Photoshop Alternative
For more advanced image editing, I turn to Photopea. It looks like an older version of Photoshop with ads on the sidebar, but it does everything I need. I use Photopea primarily for resizing images and converting them to web-friendly file types like WebP, which helps keep my websites fast and optimized for SEO.
The fact that it’s browser-based and free makes it an incredibly valuable tool in my arsenal.
Project Management
ClickUp – Planning and Task Management
I’m still in love with ClickUp, even when I’m just planning my own work! I’ve opted for a paid one-seat version to access more automations, which streamline my workflow and reduce repetitive tasks.
ClickUp’s flexibility allows me to customize my workspace exactly how I need it, whether I’m managing client projects, tracking content calendars, or organizing personal goals.
There is a great Free Plan which, in a similar vein to Canva, allows you to test drive the programme thoroughly. It is only as you scale the project sizes, the automations and the team members that you may need to start paying for services – but considering time is always our most precious of commodities, the cost is low (even when translating from USD to ZAR). There are a number of evangelists on YouTube who allow you to explore a variety of use cases – the only limit is your imagination. Please use this link to explore ClickUp further – ClickUp.
Domain Registration
Domains.co.za – Simple and Fast
When it comes to buying web domains, Domains.co.za is my preferred registrar. I used them in my previous work environment and was impressed by their simple, user-friendly interface. Purchases are paid by credit card, and domains are available within seconds—no hassle, no complicated processes.
Web Hosting
Hostinger Basic Business Package
I chose Hostinger’s Basic Business Package for one year, and it’s been incredible value. The package gives me 25 websites with 2 email addresses per site for the entire year. The interface is incredibly easy to manage, and the whole experience has been a pleasure.
Whether you’re hosting client sites, launching multiple projects, or building your portfolio, Hostinger delivers reliable performance without breaking the bank.
Note-Taking
Evernote – My Digital Brain
Evernote has been my go-to note-taking software for more than 5 years now. It’s where I capture ideas, store research, organize project notes, and keep everything searchable and accessible across all my devices.
The longevity of my relationship with Evernote speaks volumes—it’s a tool that just works, year after year.
Productivity Gurus and Inspiration
The tools are important, but the philosophies behind how I use them matter just as much. Here are the productivity experts who’ve shaped my approach:
Cal Newport – Living the Deep Life
I never miss a Cal Newport book or podcast episode. His philosophy around deep work and intentional living resonates with me deeply. My aim is to live the Deep Life—focused, meaningful, and free from digital distraction.
Ali Abdaal – Feel-Good Productivity
Ali Abdaal started my productivity journey with his Feel Good Productivity book and his engaging YouTube channel. His approach to productivity emphasizes enjoyment and sustainability, rather than grinding yourself into exhaustion.
Tiago Forte – The PARA Method
I structure my entire life using Tiago Forte’s PARA method (Projects, Areas, Resources, Archives). This organizational system, detailed at fortelabs.com, has transformed how I manage information and stay organized across all areas of my life.
Final Thoughts
This tech stack represents years of testing, switching, and refining my workflow. Each tool serves a specific purpose and solves a real problem in my daily work. Whether you’re a designer, entrepreneur, or creative professional, I hope this list gives you some ideas for optimizing your own toolkit.
